Job Details:

Haywood is currently seeking an Office Assistant to join its Toronto Office.  Reporting to the Branch Administrator, this position will handle reception, facilities and secretarial duties. To be successful in this role, candidates must be able to demonstrate their commitment to providing exceptional customer/client service, attention to detail and a willingness to take on new responsibilities and challenges as they arise.


Responsibilities include:


  • Reception – greet clients, handle calls, manage incoming & outgoing couriers and deliveries, assist and set-up for meeting room bookings;
  • Facilities - maintain tidiness in kitchens & meeting rooms, handling of building service center requests, and handle any catering needs. Monitor stock and supplies and place orders through vendors as needed;
  • Secretarial – update standard forms and lists (e.g. phone directories, BCP lists, external contact lists, review and submit Toronto invoices to head office for payment);
  • Other general administrative duties as required. (e.g. deliveries & filing);

Job Requirements:

  • Must be able to function in a fast paced, multi-tasking environment while remaining composed, friendly and focused;
  • Ability to work with minimal supervision, take direction well and follow-through as needed;
  • Knowledge in Microsoft Office Suite (Word, Excel, Powerpoint) and Outlook.
  • Excellent communication skills both verbal and written;
  • Ability to take initiative and improve upon methods of operating;
  • Excellent organizational skills & attention to detail;
  • Professional appearance and demeanor. Friendly and outgoing personality;
  • Must be able to lift heavy packages (up to 25 lbs);
  • Minimum of 1 year experience in an office environment;
  • Hours of work are 9:00am to 5:00pm.
