Haywood is currently seeking an Office Services Assistant to join its Office Services Department in Vancouver.  Reporting to the Manager of Office Services, this entry level position will be cross trained to handle facilities, scanning, reception and mail relief duties.  This role will become a permanent position upon successful completion of the probationary period.     

 

Main Responsibilities include:

 

  • Facilities - maintaining tidiness and upkeep of kitchens, private bathrooms and meeting rooms.
  • Stock - monitoring current supplies & placing weekly stock orders with vendors as needed.
  • Replacing toners and supplies for copiers and printers and placing service calls.
  • Reception – providing reception relief for breaks/absences and handling front desk responsibilities including greeting clients, answering phones, processing courier requests and incoming deliveries, meeting room bookings, placing building service center requests and following-up as required.
  • Mail – providing relief support to Mail Attendant during absences.
  • Scanning – scanning of documents for assigned departments and ensuring quality control of scanned images.
  • Document storage – processing records for long-term storage.
  • Other ad hoc duties as assigned by Office Services Manager include assisting with social functions, updating departmental procedures and documentation as directed.

Job Requirements:

                                    

  • Must be available to work from 8am to 4pm & occasionally from 6am to 2pm.
  • Business professional appearance and demeanor.
  • Punctual, dependable, good judgment, and excellent work ethic.
  • Excellent organizational skills and keen attention to detail.
  • Must be able to multitask and switch gears easily while working in a fast paced environment.
  • Ability to take direction well, work with minimal supervision, and follow-through as needed.
  • Computer skills in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint).
  • Excellent communication skills both verbal and written.
  • Team player who works well with others, able to resolve issues quickly, and maintain strong working relationships with colleagues.
  • Ability to lift heavy packages (up to 25 lbs).
  • Prior office work experience is an asset, however candidates with the key qualifications are encouraged to apply.
