Job Details:

Haywood is currently seeking a Reception/Office Services Assistant to join its Office Services Department in Vancouver.  Reporting to the Manager of Office Services, this entry level position will be cross trained to handle reception, facilities and scanning duties.  The primary responsibility for this role will be serving as the right hand to the Senior Receptionist and handling Reception desk duties as directed.

This role will become a permanent position upon successful completion of an initial 3-month probationary period.     


Main Responsibilities include:

  • Reception – reporting to the Senior Receptionist and handling front desk responsibilities including greeting clients, answering phones, processing courier requests and incoming deliveries, meeting room bookings, placing building service center requests and all other duties associated with running a busy reception desk.
  • Facilities – provide back-up support to Facilities Assistant as needed.
  • Maintaining tidiness and upkeep of kitchens, private bathrooms and meeting rooms.
  • Placing regular weekly stock orders with vendors as needed.
  • Replacing toners and supplies for copiers and printers and placing service calls.
  • Document storage - processing records for long-term storage.
  • Scanning – sort / scan / index all documents submitted to the scanning unit. Ensure quality control of all scanned images.
  • Other ad hoc duties as assigned by Office Services Manager.


Job Requirements:

    • Excellent English communication skills both verbal and written.
    • Available to work from 8am to 4pm, and also be able to work the morning reception shift from 6am to 2 pm on the rare occasion as needed.
    • Business professional appearance and demeanor.
    • Must be punctual, dependable, honest, practice good judgment, and possess an excellent work ethic.
    • Ability to take direction well, follow instructions and work with minimal supervision.
    • Have great organizational skills and practice keen attention to detail.
    • Must be able to multitask and switch gears easily while working in a fast-paced environment.
    • Proactive and be able to follow-through and ensure that tasks are handled until completion.
    • Computer skills in Microsoft Office Suite (Outlook, Word, and Excel).
    • Team player who works well with others, able to resolve issues quickly, and foster/maintain strong working relationships with colleagues.
    • Ability to lift heavy packages (up to 25 lbs).
    • Prior experience working in a busy office environment is required.
    • Must be able to work overtime on the rare occasion as needed.
